This policy explains what personal data My Newport collects through www.mynewport.co.uk, why we collect it, and what rights you have over it.

Who we are

My Newport is a local information service for Newport, Shropshire. You can contact us about anything in this policy, or about the personal data we hold, at hello@mynewport.co.uk.

What we collect

Your name and email address, if you subscribe to the Newport round-up. We also record the date and time you subscribed, the page you subscribed from, the referring page, and the exact wording of the permission you ticked — this is our record that you consented, and to what.
Your name, email address and any phone number you give us, if you send something in through one of our forms — an event, a business listing, a job, an item for sale or a community notice — along with whatever you write in that submission.
Your name and email address, if you create a free account, and the display name you choose to appear beside anything you post.
Usage data, if you accept analytics cookies — pages viewed, approximate location, and device and browser type.
Server logs, recorded automatically for security and troubleshooting. These include IP addresses.

Why we can use it (lawful basis)

The Newport round-up — your consent. You can withdraw it at any time, and every email includes an unsubscribe link.
Submissions and accounts — our legitimate interest in running the site: we need your details to publish what you sent, to credit it, and to come back to you about it.
Analytics and marketing cookies — your consent, given through the cookie banner.
Server logs — our legitimate interest in keeping the site secure and working properly.

Cookies and similar technologies

We set no analytics or marketing cookies until you turn them on. When you first visit, every optional category is switched off, and Google's tags are instructed that consent is denied before they load.

We host our own web fonts rather than loading them from a third-party font service, so visiting the site does not disclose your IP address to a font provider.

Maps on business pages

Each business listing shows a map of where it is, drawn by OpenStreetMap. The map is loaded when you scroll down to it, and at that moment your IP address is sent to OpenStreetMap so it can send the map back. We ask your browser not to tell them which page you are on, so they know only that a map was shown somewhere on this site. OpenStreetMap is a non-profit mapping project — it sets no advertising cookies and does not profile you.

If you would rather it did not load, blocking third-party frames in your browser stops it and leaves the address, directions link and the rest of the page working normally.

The video on our homepage

The banner video on our homepage is hosted on YouTube and plays inside a frame provided by Google. Because it starts when the page loads, your IP address and basic device information are sent to Google at that moment — before you have answered the cookie banner, and whatever you go on to choose. We use YouTube's no-cookie address, which means Google does not store tracking cookies on your device unless you actually interact with the video, but the connection to Google is still made. Google is told which website the video is playing on, but not which page of it you are reading.

We are telling you this plainly because it is the only part of the site that contacts another company simply for loading a page. If you would rather it did not, blocking third-party frames in your browser stops it and leaves the rest of the site working normally.

Who we share it with

Google — Google Tag Manager and Google Analytics, and only once you have accepted analytics or marketing cookies. If you decline, no Google analytics or advertising cookies are set. Separately, the homepage banner video is served by YouTube (also Google) and loads with the page, as described above.
OpenStreetMap — the maps on business listings are served by the OpenStreetMap Foundation, as described above.
Purple Prince Media Ltd — newsletter subscriptions are handled by an automation workflow operated by Purple Prince Media Ltd, a separate company under common ownership, acting as our data processor on our instructions. It runs on the same server as this website, so your details are not passed to any outside provider.

We do not sell your personal data, and we do not share it for anyone else's marketing.

Where your data is stored

This website and the systems that handle newsletter signups are hosted on servers operated by Hetzner Online GmbH in Germany, within the European Economic Area. The UK Government recognises the EEA as providing an adequate level of data protection, so no additional transfer safeguards are required. If you accept analytics or marketing cookies, Google may process that data outside the UK and EEA under its own safeguards.

How long we keep it

Mailing list — until you unsubscribe or ask us to delete your details, and for 12 months afterwards so we can honour your unsubscribe.
Submissions — for as long as the listing is published, and for 12 months after it comes down.
Accounts — until you ask us to close yours.
Analytics data — 14 months.
Server logs — 30 days.

Your rights

You have the right to ask for a copy of the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time — this does not affect anything we did before you withdrew it. To exercise any of these rights, email hello@mynewport.co.uk.

If you are unhappy with how we have handled your personal data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

If what we do with personal data changes, we will update this page and change the date at the top.
